Burton Auto Detailing LLC ("Burton Auto Detailing," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, store, and disclose information about you when you visit our website at https://www.burtonautodetailing.com, contact us by phone or text at (330) 500-2257, request a quote, or receive services from us.

1. Information We Collect

  • Contact information you provide voluntarily: name, phone number, email address, and mailing address.
  • Vehicle information for service quotes and appointments: year, make, model, color, VIN, and condition notes.
  • Communication records: SMS messages you send or receive from us, voicemails, recorded voice-agent calls, and emails.
  • Service history: work performed, scheduling, payment status, and follow-up notes.
  • Website analytics: pages visited, referrer source, approximate location derived from IP address, device and browser type, and session duration, collected via Google Analytics using first-party cookies and similar technologies. You can opt out of Google Analytics at any time by installing the Google Analytics Opt-out Browser Add-on or by blocking cookies in your browser. If you are a California resident, you may also exercise your right to opt out of any "sharing" of analytics data by emailing us at booking@burtonautodetailing.com. We do not respond to Do Not Track browser signals but we honor Global Privacy Control (GPC) signals as an opt-out of any sharing for cross-context behavioral advertising.
  • Photos of your vehicle taken before, during, and after service for documentation, quality control, and marketing portfolio purposes (subject to the opt-out described in our Terms § 8).

2. How We Use Your Information

  • To respond to inquiries, provide quotes, and schedule appointments.
  • To send appointment confirmations, reminders, vehicle-ready alerts, and post-service follow-up via SMS or email.
  • To process payments and maintain accurate service and billing records.
  • To prepare de-identified before-and-after portfolio, social-media, and marketing content from vehicle photographs, subject to your right to opt out (see Terms § 8).
  • To improve our services and customer experience.
  • To comply with applicable legal obligations.

3. SMS Messaging

Burton Auto Detailing offers SMS communication under a program called "Burton Auto Detailing SMS Notifications" for appointment confirmations, reminders, vehicle-ready alerts, customer-care replies, and post-service feedback requests (non-marketing). By providing your phone number and opting in (via web form, voice agent, or by texting an enrollment keyword to our number), you consent to receive these messages. Full program details, consent-capture mechanics, sample messages, and your STOP / HELP / re-subscribe options are described in our Terms and Conditions § 5.

Mobile information (including phone numbers and SMS opt-in data) will NOT be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors who provide support services (such as our SMS gateway provider, Twilio Inc.) is permitted solely to deliver the messages you request. All other categories of data exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties.

You may opt out at any time by replying STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT, or any other clearly worded opt-out request to any message. Reply HELP or INFO for support. Reply START, YES, or UNSTOPat any time to resubscribe. Message and data rates may apply. Automated SMS is not sent between 9:00 PM and 8:00 AM local time at the recipient's billing ZIP code.

Email opt-out.Commercial marketing emails from us include an unsubscribe link in the footer and an opt-out processing window of no more than ten (10) business days, consistent with the CAN-SPAM Act, 15 U.S.C. § 7701 et seq. Transactional emails (appointment confirmations, receipts, vehicle-ready alerts) are not considered marketing and may continue to be sent so long as you remain an active customer.

4. AI Voice Agent (Retell) Calls

Inbound and scheduled outbound calls to our main number at (330) 500-2257 may be answered or placed by an AI voice agent operated on our behalf by Retell AI, Inc. ("Retell"). The agent is designed to gather the same intake information a live staff member would: your name, contact details, vehicle information, and the service you're looking for.

Recording and transcription disclosure.All AI agent calls - whether you call us or we call you - are recorded and transcribed for quality control, training, and CRM record-keeping. At the start of every such call, you will hear a pre-recorded disclosure substantially as follows: "Hello, this is Burton Auto Detailing's AI assistant. This call is recorded and transcribed for quality and record-keeping. If you'd prefer a human, say ‘agent’ or call back during business hours, Monday through Friday, 8:30 AM to 5:00 PM." Continuing the call after this disclosure indicates your consent to the recording. If you prefer not to be recorded, you may hang up and call back during business hours, or request a live staff member during the call at any time.

What we store. Call recordings, AI-generated transcripts, and structured call data (caller phone number, appointment details, consent records) are written to our customer management system for the retention periods described in Section 6 below.

Data handling.Retell acts as a data processor under a written agreement with Burton Auto Detailing. Call audio and transcripts are processed through Retell's infrastructure and any upstream large-language-model provider Retell uses to power the agent. Burton Auto Detailing does not authorize Retell or any downstream AI model provider to use your call content to train general-purpose AI models for third-party benefit. Recordings and transcripts remain under our control for our own service delivery and record-keeping.

Your rights. You may request a copy of your own call recording or transcript, or request deletion of your data (subject to Section 6 retention requirements), by emailing booking@burtonautodetailing.com.

5. Information Sharing

We do not sell, rent, or trade your personal information. We share information only with:

  • Service providers that operate our infrastructure, each under a written agreement restricting their use of your data to the service they provide to us:
    • Web hosting and edge/CDN infrastructure (including Cloudflare Inc.)
    • SMS delivery - Twilio Inc.
    • Transactional email delivery - Resend
    • Website analytics - Google Analytics (pseudonymous page and referrer data)
    • Payment processing - our merchant processor (card data does not transit or rest on Burton Auto Detailing's systems)
    • Calendar synchronization
    • AI voice agent - Retell AI, Inc., including any upstream large-language-model provider Retell uses to power the agent (see Section 4)
  • Professional advisors such as our accountant or attorney, when necessary for legal, tax, or compliance reasons.
  • Government authorities when required by law, subpoena, or court order.

6. Data Retention

We retain different categories of information for different periods based on the purpose of collection:

  • Tax and financial records (invoices, payment records, service receipts) - seven (7) years after the transaction, in accordance with IRS and Ohio Department of Taxation record-keeping guidance.
  • Customer contact and service history - for as long as you are an active customer plus seven (7) years after your last service, to support warranty claims and tax records.
  • Call recordings and AI-generated transcripts - up to three (3) years for quality and training purposes, then deleted or anonymized, unless the recording relates to a specific incident, complaint, or legal matter, in which case we retain it for the duration of the matter plus one (1) year.
  • Marketing photographs - retained in de-identified form (license plate / VIN obscured) unless you withdraw consent in writing. Internal service-record photographs (the intake/during/after-service photos attached to your service record) are retained for the same seven (7) years as the service record itself, regardless of any marketing opt-out, for dispute-resolution and warranty purposes.
  • Website analytics - retained per Google Analytics default settings (currently 14 months).

After the applicable period, records are securely deleted or anonymized. You may request early deletion subject to legal retention requirements.

7. Security

We use administrative, technical, and physical safeguards appropriate to the size and risk profile of our business, including: (a) HTTPS/TLS encryption for all data in transit between your browser and our servers; (b) encrypted storage at rest for customer records in our self-hosted customer-management system; (c) cryptographic validation of all inbound webhook traffic; (d) role-based access controls limiting staff access to records on a need-to-know basis; (e) an internal incident-response procedure aligned with Ohio Rev. Code § 1349.19; and (f) routine encrypted backups. No system can be guaranteed 100% secure, but we maintain these measures and review them periodically.

7A. Data Breach Notification

If we discover a breach of the security of our system that results in, or is reasonably believed to result in, unauthorized access to your unencrypted personal information that creates a material risk of identity theft or fraud, we will notify you in the most expedient time possible and no later than forty-five (45) days following discovery, consistent with Ohio Rev. Code § 1349.19. Where more than one thousand (1,000) Ohio residents are affected in a single occurrence, we will also notify the nationwide consumer reporting agencies. Notice will be provided by email, SMS, postal mail, or conspicuous website notice, depending on the contact information we have on file for you.

8. Your Rights

  • Access the personal information we hold about you.
  • Correction of inaccurate or outdated information.
  • Deletion of your information, subject to legal and tax retention requirements described in Section 6.
  • Portability - receive a copy of the information you have provided to us in a portable, commonly used format.
  • Opt out of SMS or email marketing at any time.
  • Non-discrimination - we will not deny service, charge a different price, or provide a different level of quality because you exercised any of these rights.
  • Appeal - if we decline your request, you may appeal by replying to our response, and we will re-review within thirty (30) days.
  • Consent record- request a copy of any SMS opt-in record (see Terms § 5).

To exercise any of these rights, contact us at booking@burtonautodetailing.com or (330) 500-2257. We will respond within thirty (30) days. If you are unsatisfied with our response, you may escalate to the Ohio Attorney General's Consumer Protection Section or, if you are a resident of another state, to your state's privacy regulator.

8A. Privacy Complaints

If you believe we have handled your personal information in a way that violates this Policy or applicable law, please contact us first at booking@burtonautodetailing.com. We will acknowledge your complaint within five (5) business days and aim to resolve it within thirty (30) days. If we cannot resolve it to your satisfaction, you may escalate to the Ohio Attorney General's Consumer Protection Section or, if you are a resident of another state, to your state's privacy regulator.

9. Children's Privacy

Our services are intended for adults age 18 and older. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child, please contact us and we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The Effective Date at the top of this page indicates when it was last revised. For material changes that expand how we use or share your information, we will provide at least thirty (30) days' advance notice by email, SMS, or prominent website notice before the change takes effect, and we will obtain any new consent required by law.
